OVERVIEW

Reporting directly to the Director of Development and Communications, this position will ensure best practices are in place to support the integrity and quality gift entry, tax receipting, and donor query reports. This is an integral role within the Fund Development Team. The Stewardship and Database Coordinator will work closely with the Development Database Officer specific to (RE) related duties as noted. The Stewardship and Database Coordinator role is responsible to employ high standards of communication in stewarding donors. This role will start with a one year contract and work within a hybrid model at Moorelands Kids.

Role Outline

This is an integral role within the Fund Development Team. The Stewardship and Database Coordinator will work closely with the Development Database Officer specific to (RE) related duties as noted. The Stewardship and Database Coordinator role is responsible to employ high standards of communication in stewarding donors. This role will start with a one year contract and work within a hybrid model at Moorelands Kids.

Job Responsibilities

KEY RESPONSIBILITIES Database:

  • Responsible for data entry of donors, prospects and general reports in Raisers Edge (RE)
  • Ensure the use of Raiser’s Edge to process all donations, credit card transactions, monthly donors, Benevity, Canada Helps, estates/bequests, renewals, new members, memorial donations etc. and provide timely thank you letters and receipts
  • Responsible for all cash, cheque, and EFT payments into (RE)
  • Ensure batches and tax receipts are coordinated diligently and accurately
  • Create RE queries and key reports for donor stewardship and donor management
  • Provide support in the creation of labels, letters and donor tracking
  • Assist with Database prospect research, creates prospects in RE, updates RE Actions to track application & stewardship deadlines, and ensures timely submissions
  • Support the online ticketing and receipting process for the execution of Special Events as determined by the Director of Development & Communications; using event tools to integrate with the RE donor base
  • Support Director of Development & Communications in all Annual Campaign activities with an ownership focus on the signature SAK campaign
  • Support the Send a Kid to Camp Annual Letter Writing Campaign as liaison with senior volunteers
  • Other duties, as assigned by the Director of Development and Communications

KEY RESPONSIBILITIES Stewardship:

  • Ensure effective communication in a timely manner to recognize donors by phone
  • Craft and update communication verbiage for stewardship phone calls and donor recognition cards
  • Effectively steward donors, and respond to donor enquiries
  • Work with Communications & Stewardship Manager on updating merged letters for tax receipts (quarterly)
  • Identify major donors or special gifts by involving the DDC, ED or Board President

Required Qualifications

Qualifications:

  • Experience in the not for profit sector
  • 2 years of experience working in Fund Development with knowledge of Raisers’ Edge database
  • Excellent grasp of fundraising best practices in relation to donation processing and tax receipts
  • Strong analytical abilities for compiling reports
  • Excellent verbal and written communications skills with the ability to represent Moorelands Kids in a friendly and professional manner
  • Ability to work independently and as part of a team with a professional disposition in a small office environment
  • Sound judgment and problem-solving skills
  • Strong organizational skills and time management skills, with excellent attention to detail
  • Post-secondary education in a related field including fund development
  • Ability to maintain confidentiality and demonstrated positive approach to daily problem-solving
